Answer = the first factor is technology implementation. Data conversion is poorly executed, Quality of migration support, Operator error while executing transaction, Software bugs or data errors, Too difficult to learn and use in reasonable amount of time, Not smart enough to understand the system advantages, Difficulty in executing new processes. second factor is User involvement
and training. Users are not adequately trained to use the ERP system, Lack of internal expertise and skill set, Creating political problem with some users by changing
political or work distribution in organization, Inattention to work with the new system, Failure to check unauthorized access to information, Large R&D effort as percentage of revenues. the third factor is Project management. Implementation is poorly executed, Budget overrun, and Time overrun.

2.a) What are the benefits of enterprise systems? (5 Marks)
Answer = Enterprise systems also commonly known as ES are comprehensive, large scale application-software packages, which use powers of present day information technology (IT) for supporting processes, reporting, data analysis and information flows. These IT powers include data storage, computational, and data transmission and are done between and within complex organizations. Enterprise systems can be briefly called as packaged enterprise application software (PEAS) systems and is a perfect combination of adjectives, like “enterprise”, “packaged”, and “application”. Enterprise systems is a broad term and includes Enterprise resource planning (ERP), Supply Chain Management (SCM) and Customer Relationship Management (CRM). There are many benefits of employing an enterprise system in an organization. Some of these benefits include: Integrated organizational system. Improved data entry.Incorporation of best practices.Flow of information.Improved customer satisfactionReduced inventory costs. Improved collections.Improved costing Improved planning.

    b) What are the challenges of enterprise systems? (5 Marks)
Answer = first challenges is delivering flexibility. stems from the way Enterprise Systems
manufacturing companies are being forced to respond to fast changes in customer
requirements and technology. second challenges is managing configuration complexity. most elements of the systems configuration – the hardware,
operating system, database and storage, and applications, were simple and easily
tied together in one system. And the last challengers is optimally servicing the installed equipment base. optimally servicing the installed equipment base, revolves
around the difficult task of support and warranties and servicing them cost-effectively,
    both proactively and creatively.

  19. Question 1

The 3 factor that contribute to the difficulty of implementing enterprise systems within an organization:
    (i) Enterprise systems software is expensive.
Systems are expensive and consequently require complex decision-making processes to purchase them. An even more substantial amount of business cost is typically spent on consulting to overcome difficult software implementation.

(ii) Poor planning or poor management
Change in business goals during project and lack of business management support. Companies spent large money in developing ERP systems that are not utilized. From a software perspective ERP systems is complete. But from the business perspective it is found that software and business processes needs to be aligned, which involves a mixture of business process design and software configurations. So a purely technical approach to ERP system design is insufficient. ERP systems usually effect the whole organization. As such, requires a combination of technical and human expertise to select, develop and implement successfully.

(iii) There have been many reported failures of ERP implementations. Examples include companies such as FoxMeyer Drugs, Applied Materials, Hershey, Mobil Europe, and Dow Chemicals. For the reasons that ERP systems touch so many aspects of a company’s internal and external operations, their successful deployment and use are critical to organizational performance and survival.

The THREE (3) factors that contribute to difficulty of implementing enterprise systems within an organization are :
    a)Cost
Implementing a systems are highly in cost.Only certain companies can use the technological needs
    b) Lack of expertise
Implementing systems needs to expertise and have more knowledge of the systems. In an organization ,not all workers in a company have enough skills to deal with the high technologies of the systems.
    c) Poor company Implementation

  52. Three difficulty implementing enterprise system:
    a) Enterprise system software is complex and also has many significant implications for staff work practices. Implementing the software is a too difficult task and most worker does not know how to handle the system because they not having the knowledge to implementing this enterprise system.
    b) The cost of enterprise system are expensive. For a small company, this would be not appropriate and suitable to use this system. Mostly only huge company can effort to use this system.
    c) The lack of expertise to using this enterprise system. It is need to have expertise in a company who using enterprise system, because they the only one can handle this high technologies of system. Besides that, the expertise should have the skill and knowledge to handle this system.
    Benefit of enterprise system:
    - The benefit of this is it can improved planning. The management is able to get a consolidated picture of inventory, sales, and receivables. This helps them in making better plans for the working of the organization. It also can improved costs of company. The application of enterprise systems helps in the proper racing of actual costs of all activities. This helps in performing activity based costing, which is bring beneficial to the organization
    Challenging of enterprise system:
    - The challenge of enterprise system is the storage challenge. Enterprise systems may have lifespan of 10 to 20 years, after which point they can be upgraded. Although this might seem like a long time, data within organizations accumulates exponentially and may prove too difficult to manage and store using a single software system. Another challenge is expense of purchasing, installing, and maintaining the hardware and software that enables the enterprise system.

    Answer question 1
    1)Poor leadership from top management.
--->If top management is not strongly committed to the
system, does not foresee and plan for the profound changes necessitated by ERP, or does not
actively participate in the implementation, the implementation has a high likelihood of failure. The
implementation of ERP must be viewed by top management as a transformation in the way the
    company does business

    2) Unrealistic expectations.
--->Many companies grossly underestimate the amount of resources,
time, and outside assistance required to implement and run the new system. Moreover, managers
and workers frequently assume that performance will begin to improve immediately Because the
new system is complex and difficult to master, organizations must be prepared for an initial
decline in productivity after the new software is put into operation. As familiarity with the new
system increases, the expected improvements will come. But management must be prepared for
    initial waves of frustration.

    3) Inaccurate data.
--->Data entered into an ERP system may be used throughout the organization.
Because of the integrated nature of ERP, if inaccurate data is entered into the common database,
the erroneous data may have a negative domino effect throughout the enterprise. Inaccurate data
can lead to errors in market planning, production planning, material procurement, capacity
acquisition, and the like. If a company with inaccurate data just forges ahead under the
assumption that data errors will be corrected when they are spotted, the ERP will lose credibility
This encourages people to ignore the new system and continue to run the company under the old
    system.

    Answer question 2
a)Managerial benefit. managers find it less hectic to oversee operation and to ensure that key business objective through enterprise system, because they are able to access information from a centralized server. managers find that the decision making process becomes more informed and yields better result.

    b)DELIVERING FLEXIBILITY.
---> stem from the way enterprise system manufacturing companies are being forced to respond to fast changes in customers requirement and technologies. this has placed huge demand on the flexibility of supply chain system. key issues revolve around managing outsourced manufacturing partners and supplies, product transition, exception handling and change management in order, forecasting for capacity planning and long-lead time components, product quality amongst others.

  57. 1.The three factors that contribute to the difficulty of implementing enterprise systems within an organization is a bad system. This category includes lack of needed ERP functionality, system performance problems, lack of scalability, system bugs, and ERP processes that don't match business processes. For example, the system might lock up whenever two users attempt to update the same customer master record.
Hence the organization has a good system, but set it up incorrectly. These problems include incorrect configuration settings and other problems with how the implementation was performed. For example, users might be complaining that product costs are not accurate, but the company has not set up the system with cost elements that are detailed enough. Or, users might be complaining that inventory counts are inaccurate, but the system has been set up with one big "four wall" inventory bucket, instead of bin location level tracking.
Lastly, has a good system, but not using it. Examples could be that the original implementation was incomplete, or that the implementation was broken into phases and Phase II was never started. Other times, the problem is ignorance. It's surprising how often companies don't know what features they have in the software they already own. I have seen companies buy additional point solutions, or modify their systems, all the while their original system could have provided the same functionality, if they had just looked for it.

2.a)Firstly, the benefit of enterprise system is suite of integrated software modules and a common central database. Second is collects data from many divisions of firm for use in nearly all of firm’s internal business activities. And lastly is information entered in one process is immediately available for other processes.

    b) There are three main challenges in enterprise system which is the first one are the technology changes, as time goes by the current technology will be up gradated. Business processes changes, for this the process of business means is a series of steps designed to produce a product or services. An organizational change is the companies that are undergoing or that have undergone a transformation.

  58. Question 1.
    (i) Management structure and strategy - the risks associated with customer mandate, which deals with a lack of senior management commitment. A lack of agreement on a set of project goals/objectives and lack of senior management involvement. The goal failures (inadequate statement of system goals) and organizational failures (lack of leadership).
(ii) Technology planning - contribute to the cancellation of IS development projects, pointed out that lack of adequate technical expertise and lack of an adequate technology infrastructure for supporting project requirements contribute to escalating time and cost overruns and are associated with project abandonment. The risk factors include technological newness (need for new hardware and software), application size (project scope, number of users and team diversity), application complexity (technical complexity and links to existing legacy systems) and failure of technology to meet specifications .
(iii) User involvement and training - Lack of user commitment, ineffective communications with users and conflicts among user departments are all sources of risk to implementing enterprise systems.

    Question 2.

ii. Managerial Benefits - Managers find it less hectic to oversee operations and to ensure that key business objectives are achieved through enterprise systems. Because they are able to access information from a centralized server, managers find that the decision-making process becomes more informed and yields better results.
iii. Costs - Enterprise systems, such as Customer Relations Management and Enterprise Resource Planning, incur exorbitant costs. Purchasing the software architecture, implementing it, and training staff are some of the overheads incurred, in terms of both money and time. Enterprise systems do not always yield anticipates benefits, thus creating a risk of double losses.
    b) The challenges of enterprise systems:
    i. First challenge: delivering flexibility - Enterprise Systems manufacturing companies are being forced to respond to fast changes in customer requirements and technology. This has placed huge demands on the flexibility of supply chain systems.
ii. Second challenge: managing configuration complexity - the typical configuration consists of several separate mini-systems. For example, a complex high-end server solution has separate storage area networks, networking equipment, and software stacks for the middleware, database, portals, application servers and web servers.
iii. Third challenge: optimally servicing the installed equipment base - revolves around the difficult task of support and warranties and servicing them cost effectively, both proactively and reactively. 60. 1) Enterprise Resource Planning (ERP) is a system that effectively maintains a centralized source of information that would collect data from all components and then standardize, collate and integrate it.
    i. First factor is the poor understanding of the system. Implementing ERP typically requires changes in existing business process and poor understanding in implementation is a main reason for the project failure.
ii. Second factor is the decentralized organization. ERP implementation is more difficult in decentralized organization because they often have different process, business rules, authorization hierarchies etc.
iii. Third factor is the lack of training. Poor skills in implementing ERP will cause the system to be dysfunctional.
    2)
    a) The benefits are in the term of distributing information, the distribution will be more effective, encouraging collaborative work, integrating with enterprise applications, supporting customers, suppliers and employee and lastly improving the communication flow.
    b) The challenges are since the enterprise system involving the integration of several systems then more data are hold. This will need more storage for the data. Another challenge is the expenses for the ERP for its purchasing, installing and maintaining the hardware and software that enables the ERP to function well.

There are three main factors that can be held responsible for failure of ERP system are poor planning or poor management change in business goals during project and lack of business management support. In another study, it has been found that companies spent large money in developing ERP systems that are not utilized. It is uncommon for ERP project to finish late, cost more than predicted, unreliable and difficult to maintain. Moreover BPR also had a high failure rate with consultants estimating that as many as 70% of the BPR projects fails. advocates that the power of modern technology should be used to radically design business processes to achieve dramatic improvements in their performance. From a software perspective ERP systems is complete. But from the business perspective it is found that software and business processes needs to be aligned, which involves a mixture of business process design and software configurations. So it is clear that purely technical approach to ERP system design is insufficient.

    QUESTION 2

a)Firstly integrated organizational system. Enterprise system leads to the development of an integrated system within the organization. This helps in streamlining of organizational processes and workflow, resulting in improved efficiency.

Each of organization always have difficulty in implement some system since the staff that responsible with it resist to change. Meaning to say, the workers within the organization did not want changing to the next level. They more prefer to use old system because they think that the new system will effect they status qua (rank and position) in that organization. Other than that, lack of knowledge will contribute to difficulty of implementation of enterprise system. Means, the workers lack of current or latest knowledge related with the system that will implement, so the organization need to give their workers more training to improve their skill about future system. Last but not least is lack of resources, its referring to money, manpower and also the technology material. As we know, each of system will required latest software and also hardware that involve high cost to implement and the manpower that will work with the system also need to pay based on their expertise to deal with that system. other than that, the organization also need to spend to tecnology material, so it makes the organization cannot afford that force them to use old system.

Q2(a) - Nowadays, every organization or company need technologies in order to make the organization's system running smoothly so that they can compete with other companies. There are advantages using the enterprise system. Firstly, in terms of information, employees can share all information across all departments and can improve internal communications among them.Secondly, in terms of customers, organization that used enterprise system can improved customer satisfaction. How this can happen? Employees that using enterprise system automatically can access the customer's information such as time delivery of packages or the quality of goods. Its can help promote quality and performance of the organization. The last but not least, every organizations activities will cost expenditure. 69. Desribe THREE (3) factors that contribute to the difficulty of implementing enterprise systems within an organization. (10 Marks)

enterprise system is integrated information systems that cut across various organizations as well as various functional areas. Enterprise resource planning systems inherently present uniqueris ks due to tightly linked interdependencies of business processes, relational
databases, and process reengineering and ability to generate timely and accurate information throughout the enterprise and its supply chain. A
successful ERP system implementation can shorten production cycles, increases accuracy of demand for materials management & sourcing and leads to inventory
reduction because of material management, the factor is wrong Select functions of system they wish to use problems revolve around inadequate training, non involvement of users in the new system, lack of user commitment, ineffective communication with users,
conflict among departments. besides that, a careful use of communication and change management procedures is required to handle the often business
process reengineering impact of ERP systems which can alleviate some of the problems, but a more fundamental issue of concern is the cost feasibility of system integration, training and user licenses and system utilization. in addition, Knowledge of such risks is important in planning and conducting assurance engagements of the reliability of these complex computer systems. But there are certain gaps in existing studies regarding finding the various critical risk factors in ERP system design and implementation
futhermore, jobs and responsibilities of users working in a particular system got changed which lead to political problems among employees. More over implementation of ERP creates fear in minds of the employees (users) of loosing their jobs; as the implementation of ERP system leads in downsizing the number of jobs required in different business processes. Similarly lack of experts; application specific
knowledge; user experience and problem to recruit and retain good ERP specialists; also contribute to project risk. the factor also, the organizations fail in involving internal and external ERP experts in design and implementation of new systemwhich could otherwise enhance the skill set of internal experts. It is also found that lack of support at various management levels is one of the critical risk factors
as it was critical in accomplishing project objectives and aligning the whole system as per new implementation plan. Similarly improper management structure was another factor that lead to a decentralized system and thus created excessive duplication of effort. Further the presence of many people working at same level also was a reason of conflicts among their views and non resolution
    of problems.
